Business service

A pipeline that doesn’t go cold on Friday.

CRM updates, lead follow-up, sales-deck prep, list management. The sales-and-marketing operations work that should be running while you’re on calls.

Most pipelines die in the gaps. Lead came in Tuesday, never got logged. Demo happened Thursday, follow-up didn’t go out until next week. Half-built sales deck still sitting in Drafts.

Your dedicated assistant runs the operations layer of sales and marketing. New leads logged within hours. Follow-up sequences sent on schedule. The deck for tomorrow’s demo built tonight, not at 8am tomorrow. Your reps stay on calls; the pipeline stays warm.

What we handle

The work your assistant takes off your reps’ plates.

  • CRM hygiene. New leads logged with source, stage, and notes. Stale records flagged. Duplicates merged. Reps stop having to “do data” between calls.
  • Lead follow-up. Drafts queued from your templates within an hour of a demo or inbound. Reps approve and send, or hand it off entirely on a trust-built sequence.
  • Sales-deck prep. Customized decks for tomorrow’s demo: the prospect’s logo, their numbers, the case study that fits their stage. Built tonight, not at 8am.
  • Light copy edits. Tweaking outbound emails, landing-page copy, one-pagers, RFP responses. Not full copywriting; the day-to-day polish that keeps materials current.
  • List management. Outreach lists pulled from Apollo, ZoomInfo, LinkedIn Sales Nav. Cleaned, segmented, deduped against your CRM before they hit your sequencer.

How it works

From discovery to matched, in days.

A managed service, not a marketplace. Six steps; the longest ones being the calls.

01

Share what’s on your plate.

Book a 30 minute discovery call. We walk through your work, your priorities, and what you want to hand off first. This helps us find the right plan for you.

02

Kick off with your account manager.

Once you’re subscribed, your dedicated account manager gets on a call with just you. This is where we go deeper: your personality, your workflows, how you think, how you communicate, and exactly how you like work done. Everything we need to find the right fit.

03

Matched.

Based on your kickoff, we select the professional whose background, working style, and experience align with yours. If something feels off, we rematch. No drama.

04

Get introduced.

Your assistant introduces themselves and you take it from there. Schedule a call, hop on a Zoom, or just start working. There’s no forced process, just a real introduction on your terms.

05

Get integrated.

Share access, fill out your notes, drop in your first tasks. Your assistant gets to work. Your account manager stays close.

06

Find your rhythm.

Daily handoffs. Weekly check-ins. Your account manager keeps things moving so nothing falls through the cracks.

Questions

Still circling?

Will my assistant make sales calls?

No. This is operations support, not selling. Drafts go out, calls stay with your reps. If you want managed cold-calling or SDR work, that’s a separate scope; talk to your account manager.

What CRMs do you work in?

HubSpot, Salesforce, Pipedrive, Close, Copper, Zoho, GoHighLevel, Attio, Folk, Streak, plain spreadsheets. We use your seat, your stages, your fields. We don’t migrate you to a new tool.

Can my whole sales team share the assistant?

Yes, on Zen Delegation and above. Most clients run the assistant as shared sales-ops support across two to four reps. Account manager sets the priority rules so nobody’s ask gets buried. Larger sales teams: book a call.

Confidentiality? Pipeline data is sensitive.

Every assistant is background-checked, identity-verified, and working under strict confidentiality. Access scoped to the CRM seat you grant, logged, and revocable the moment a match ends.

What if I don’t click with them?

Tell your account manager. We rematch. No drama.

An OkayRelax account manager.

Your account manager

A dedicated account manager. The person you actually talk to.

Every account has its own account manager, separate from your dedicated assistant. They run the kickoff, own the match, and are the person you reach if something needs to be rematched, escalated, or just sanity-checked. Every assignment has a quality bar. You aren’t the one chasing it.

Same person, every week. No round-robin queue. No swapping out the contact after onboarding. The match you meet on day one is the match running the work on day two hundred.

From clients

Real reviewers. Real names. Real dates.

“It is really nice having a dedicated assistant and my assistant has exceeded my expectations. They’ve saved me a lot of time dealing with a variety of tasks: canceling and scheduling appointments, booking work trips, researching.”

Roy · OkayRelax client · August 2018

“It’s like having someone in the office who already knows how you like your tasks done. No wasting time describing each task to a new person each day.”
